AutoCount Accounting lets you send invoices, statements, quotations, reports, and other documents directly by email. The latest AutoCount version has improved email sending to provide better compatibility and reliability.
AutoCount supports two ways to send emails:
- SMTP Server – Sends emails directly through an email server, such as Gmail or your company email. This is the method covered in this guide.
- Email Client – Sends emails through an email program installed on your computer, such as Microsoft Outlook or Mozilla Thunderbird.
The SMTP Server method has fewer features than using an email program like Outlook. However, SMTP is faster and easier to set up, and you do not need Outlook or any other email software installed on your computer.
Configure SMTP Email Settings
Preview any AutoCount report and select Send by Email (via SMTP Server) to enter the email details, including the recipient, subject, and message.
Before sending email via SMTP, verify your SMTP settings in Email Setting (lower-left corner). Enter the following information:
- SMTP Server: smtp.gmail.com
- SMTP Port: 587
- Connection timeout: 15
- Enable SSL and User Name and Password
- Username: (your Gmail email address)
- Password: (Password generated from App Password)
The Password is the most important setting. Do not use your normal Gmail password. You must create a Google App Password and enter it here. This password is specially made for third-party applications like AutoCount Accounting.
Before creating an App Password, make sure Two-Step Verification is turned on for your Google account.
Generate App Passwords
1. Click https://myaccount.google.com/apppasswords and sign in to your Google Account.
2. Enter a app name such as "AutoCount"
3. Click Create.
4. Copy the 16-character password and use it as the SMTP password in AutoCount.
After the setup is complete, you can send invoices, statements, quotations, reports, and other documents directly from AutoCount using your Gmail account.
